What this policy covers

This policy explains what personal data we collect when you visit this website or contact us through it, why we collect it, how long we keep it, who it might be shared with, and what rights you have over it. It also explains the cookies this website uses.

The personal data we collect

We collect personal data in the following ways:

  • When you use our contact: your name, email address, phone number, and any other information you choose to include in your message.
  • When you email or call us directly: the contact details and any other information you provide.

We do not use any analytics, advertising, or tracking cookies on this website, and we do not collect any personal data automatically through your browsing activity beyond the strictly necessary cookies described below.

Why we collect it, and our legal basis

Purpose What data Legal basis (UK GDPR)
Responding to enquiries about room hire or joining the practice Name, email, phone number, message content Legitimate interests (Article 6(1)(f)) — responding to a query you have voluntarily raised with us
Setting up a room hire agreement or licence, if you go ahead Name, contact details, and any details needed to fulfil the agreement Performance of a contract (Article 6(1)(b))
Keeping the website secure and functioning correctly Strictly necessary cookie data (see Cookies section below) Legitimate interests (Article 6(1)(f)) / not subject to consent under PECR as strictly necessary

We do not collect or process special category data (such as health information) through this website. If your enquiry or correspondence with us happens to reveal health-related information, we will treat it with the additional care UK GDPR requires for special category data, and will not use it for any purpose beyond responding to you.

How long we keep your data

We keep enquiry and correspondence data for as long as reasonably necessary to respond to you and, where relevant, to maintain a record of any agreement reached — typically no longer than 24 months after our last contact with you, unless we are required to keep it longer for legal, accounting, or contractual reasons (for example, room hire agreements may need to be kept for the duration of the agreement plus a reasonable period afterwards).

Who we share your data with

We do not sell or rent your personal data. We do not pass your details to third parties for marketing purposes. Your data may be seen by:

  • Our email provider, solely as the technical means by which messages sent through this website reach us.
  • Professional advisers (such as an accountant or solicitor), but only where necessary and only to the extent required.
  • Regulators or authorities, where we are legally required to disclose information.

We do not transfer your personal data outside the UK.

Your rights

Under UK GDPR, you have the right to:

  • Ask us what personal data we hold about you, and get a copy of it (right of access)
  • Ask us to correct inaccurate or incomplete data (right to rectification)
  • Ask us to delete your data, where there is no good reason for us to keep it (right to erasure)
  • Ask us to restrict how we use your data in certain circumstances (right to restriction)
  • Object to us processing your data where we rely on legitimate interests (right to object)
  • Ask us to provide your data in a portable format, where technically applicable (right to data portability)

To exercise any of these rights, contact us using the details above. We will respond within one month, as required by law.

If you are unhappy with how we have handled your personal data, you also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or by calling 0303 123 1113. We would, however, appreciate the chance to address your concern directly first.

Because they are strictly necessary, these cookies do not require your consent under UK law (Privacy and Electronic Communications Regulations, PECR), though we still tell you about them, and you will see a short banner about this when you first visit.
